Board Meeting Minutes

June 12, 2007

 

The meeting was called to order at 7:10 by Ron Howard, President.  Ron provided the board members with an agenda which we followed.

The minutes from the last board meeting were read by Ruby Allen and approved by the board.

 

Treasurers Report – Walter Thomas

 

No delinquent assessment statement at this time from SCS Management.

The new accounting system at SCS is now in place.  All bills are paid online.

$500.00 was charged for pressure washing the pool area.  This amount was not approved by the board.

 

Mr. Thomas read information from SCS asking the board to participate in an online billing system where the bills will go directly to the company to be paid each month.  The online company paying the bills will charge a fee.  The board voted not to participate in this program.

 

Committee Reports

Pool – Ron Howard

The pool was opened on time.  The pool maintenance company we presently have employed only services the pool once a week.  Our pool is in need of servicing at least twice a week.  Ron will check with Miller’s Pool Company regarding servicing the pool twice a week.  James Sparks volunteered to purchase skimmer poles and life saving tubes for the lifeguards.  Security is checking the pool area regularly.  No problems as of this date.

No problems with rentals the last few weeks.

 

Security – Tom Brannon

Tom Brannon has been in contact with the management company of the town homes on Little York.  He has discussed the possibility of Oaks of Inwood security patrolling the neighborhood and the town homes.  The town home manager is willing to pay 1500.00 – 2000.00/month for this service.  Overall, the neighborhood would come out ahead.  This also would make the police officer more visible in the area.  The board suggests that we come up with a 3 month contract and also a minimum fee from the complex management of 2000.00/month.  The entire contract must be in writing written by a legal authority.  The contract must state that we are paid a month in advance.  The board approves with the stipulations above.

 

Mr. Sparks brought to the board’s attention the residents concern with an 18 wheeler being parked on the street in the neighborhood.  He suggests that we post signs stating no commercial vehicles parked on the street.  The deed restrictions state 24 hours  for vehicles parked on the street.

Mr. Brannon checked into Oaks of Inwood becoming a gated community.  This is not possible due to several driveways located in the entrance to the subdivision.

The lock on the gate by the tennis court has been changed so that all entrances to the pool are keyed the same. 

Also, Tom has fogged for mosquitos.

 

The website is being used.  (575 entries)

The police security report is available and will be added on the website.  1 stolen car was found on Holder Forest which was stolen from the apartments.

The apartments behind the subdivision are up for sale.

 

Architectural – Fred Forsman

The committee is going to start photographing properties and sending out letters for violations.  The letter will be sent to the resident and SCS.

All garage sales must follow city ordinance and pick up signs after the sale.

 

Landscaping – Gary Ward

New contract with Leave it to Beaver Landscaping.  1123.50/month with an additional 980.00 twice a year for entrances.  The landscape contract was approved by the board.  Landscaper is still short 2 checks from last year and he says 1 month behind for 2007.  Mr. Ward will research with SCS.  Gary had a new yard of the month sign printed.  The existing sign cannot be located.  Several attempts have been made to the past president with no return phone calls regarding the sign.

 

The meeting was adjourned at 8:45.
