Board Meeting Minutes
July 10, 2007
Members Present: Tom Brannon, James Sparks, Fred Forsman, Penny Salter, Walter Thomas, Cathy Jenson (SCS Management)
Meeting was called to order by Tom Brannon at 7:30 pm. There wasn’t a quorum present so the meeting will be discussion no items could be voted on.
Minutes were previously read by the board members which were on line at oaksofinwood.com . James Sparks made a motion to approve the minutes, Fred Forsman seconds, motion passed.
Walter gave the treasurers report from the quarterly report provided by SCS management. Reviewed the actuals to the budget. There are 28 delinquent lots, 7 lots two or more years delinquent which represents approx. $12,000, 12 of the delinquencies total approx $7,800. Walter prepared letters to the three different areas of delinquencies, one will be sent out to the people who only owe for penalties and late fees, the two additional letters will be revised before sending out. James made a motion treasurers report be accepted, Fred second motion carried
Committee Reports
Pool – Tom gave the report for Ron, there have been no problems, getting bids from other companies for pool cleaning.
Architectural – Fred rain has prevented committee from doing the sightings on lots, they will be sending out letters to homes with violations very soon.
Clubhouse – James, no complaints, hired a new cleaning person Johnnie Taylor, he has own equipment will continue to do for $200., comes Wednesday to put out trash cans and will come back and put up on Thursday.
Landscaping – Gary wasn’t present to give report. Landscaper needs key to get in gate. They need to clean up end of Cypress Grove. There is still outstanding monthly fee for last year they say is due. SCS is still trying to figure out.
Security – Tom, no major problems, still haven’t caught the man on the bicycle. We will get a check for $1,000 on the 10th of the month to cover constable costs from the 4plexes on T C Jester. There has already been an arrest for drugs and auto theft there. Frank called in another constable. They will have a 3 month contract to share the constable, they have to pay in advance.
Old Business – none
New Business – Penny got a quote for the Oaks of Inwood car stickers from Kwik Kopy for $236.50 for 500., would be a rectangle on a roll, in Kelly green. She will email for a vote to order.
SCS Management – Cathy said she is exploring amending our By Laws on terms and lowering numbers.
Clubhouse rental fees – Cathy will check into what other areas are charging, we need to finalize clubhouse rules.
Meeting adjourned at 8:20 pm
Board Meetings will be held the second Tuesday of each month at 7:00.
